Job Description:
To deliver excellent customer service to all our customers to ensure their ski holiday exceeds expectations.
To manage reservations with bed suppliers for all programmes controlled from the country office - Austria, Bulgaria, Finland, Slovenia. To act as a contact for all bed suppliers and provide them with the service they require. Negotiate with suppliers in purchasing beds at the best rates where necessary for late deals. To manage and distribute the flow of paperwork and reports generated by internal systems.
Daily download of various internal reports for distribution to hotels, agents and resort staff and many for use internally. Management and distribution of rooming lists, resort staff arrival/departure paperwork all booking position requests, late bookings, cancellations, extra to allocation requests, over bookings, booking stops and late deals.
This position is year round.
Key Accountabilities & Responsibilities:
Primary responsibilities
- Liaising with the Commercial team in the UK regarding beds to flight seats situation to understand what focus is needed in terms of finding extra beds
- Participation in weekly conference call with GM, Contractors, Commercial & Product to understand focus required for bed sourcing
- Working with the contracts team to ensure that we are obtaining extra beds / special offers / reduced releases for key dates
- Working with the res team to direct focus for sourcing extra beds / actioning or trading stop sales / changing release dates when needed
- Setting up offer bed banks and putting extra rooms on sale & using res team to assist when needed
- Monitoring guaranteed properties & flagging empty beds to Yield to ensure 100% occupancy all season
- Monitoring where we have sold 70% of our allocation in hotels and asking hoteliers for more rooms
- Communicating with transport supplier providing data extracts/files with passenger numbers as required and ensuring information is passed on regarding allocation of late deals
- Frequently update the special offer grid so these are loaded as quickly as possible by the Yield dept
- Managing the allocation of all late deals in such a way as to ensure that we obtain the best price for accommodation bought in, and ensure that committed beds occupancy levels are maximised
Secondary responsibilities
- Daily updating and maintaining of reservations systems
- Assisting res team in sending out of rooming lists on daily basis to confirm final bookings with hoteliers/agents when needed
- Assisting res team in dealing with queries from resort staff and assisting in customers issues regarding their accommodation when they arise
- Assisting res team in looking after the joint reservations email inbox when needed
- Assisting res team in dealing with customers Special Requests from our UK and Ireland offices.
- Assisting res team in providing hoteliers/agents and information regarding reservations - Special requests, cancellations, late bookings, amendments
Pre-season responsibilities in conjunction with res team
- Pre-season checking of release dates to ensure all loading is correct
- Pre-season inputting of contacts into reservations systems (JFA)
